uation Tribunal Hearing. There is generally a refundable fee for this, and you will have to make the payment direct to the VOA. We will only take this step if we believe there are reasonable prospects of success. Under such circumstances our client will be advised of where to attend in order to view the process if they wish. You will be informed of the current appeal status and will be contacted if any further information is required. This will be by us and by the VOA through the registration system. If the Check stage is not completed within 12 months, we are allowed to automatically issue a challenge. The Challenge should be submitted within four months of the completion of the Check, but a lack of evidence may delay this. The Clements Agency Group will utilise comparable evidence and information from their rental database and will research the location for comparable rental information and will liaise with other surveyors. To prepare for the Check of the RV and the Challenge you need to register online with the VOA and authorise us as your agent using our unique code. From this point we will assume responsibility for all contact with the VOA, but you will receive regular updates from us and the VOA by email. Any information which was not disclosed to our consultant on the day of instruction or events which occur after instruction will need to be notified at your earliest convenience. This is a Business-to-Business agreement.
• On instruction a payment on account is required accept the offer of terms and for The Clements Agency Group to begin the process to Check the RV and if necessary, prepare the evidence and statement for the Challenge. By making the 1st payment you have accepted the terms & conditions and are obliged to register with the VOA to appoint us as your agent within 28 days. If necessary, we will assist with this and guide you through the process.
• We will on your behalf submit any number of Check & Challenges as necessary.
• Once the surveyors are willing to advance further into the Check & Challenge and will be able to get an acknowledgement from the VOA a brief overview of the case will be sent to you and it is only at this point the 2nd payment of the fixed fee is processed.
• Upon the Valuation Office settlement, the client can be given a preliminary review of their case. Following any alteration which reduced the amount of business rates payable. The Clements Agency Group will give an approximate estimation of the refunds/credit/saving awarded and once the revised bills have been sent to the client by the local authority, they should forward copies so the refund can be checked.
• We are appointed as your sole agent.
• Once the savings have been established The Clements Agency Group will issue an invoice for the agreed commission based upon the refunds from effective date through to the end of the financial year in which the reduction/reliefs/grants are awarded.
• We also assist, and gain reliefs/grants as provided by the government and local authority and this will be subject to the stated commission. This is a Business-to-Business agreement for a service which commences immediately and lasts for the length of the rating assessment(s). Should the client fail to fulfil the obligations laid down in the terms The Clements Agency Group will take appropriate necessary action. The Clements Agency Group main objective is to represent the client in order to establish the correct Rateable Value of the property.
