Flight Operations/Charter Coordinator
N-Jet, a full-service aircraft management and charter company located at Chicago Executive Airport in Wheeling, IL, is seeking a motivated, and highly reliable full-time Charter Flight Coordinator to join our team of three: 5 workdays – including one weekend a month – business hours 07:00-17:30 (shifts) and as needed 24/7. Telecommute after training at our Wheeling facility. This is an exempt position which requires flexibility to meet the demands of business.
This role is an integral part of Flight Operations which is responsible for all logistical coordination, being a liaison for the flight crew while providing high-level customer service.
We are looking for someone who is resourceful, stays calm, adapts to changes, can make decisions under pressure while maintaining professionalism.
Candidate must possess an outgoing personality; excellent verbal/written communication skills; be extremely organized, self-reliant, proactive, with exceptional attention to detail.
Job Duties (Including but not limited to):
• Respond to and prepare quote requests;
• Confirm aircraft and crew availability for flights based on the schedule;
• Schedule flight crews, hotels, catering, and limos for owner and charter trips;
• Execute daily operations of scheduling flights and crews in accordance with client needs, federal regulations, and company policy while emphasizing safety, service, and commitment to excellence.
• Finalize details to dispatch trips (contacting FBO’s, set up fuel, etc.) professionally and promptly as needed.
• Ensure all required customs, immigration, agriculture; international handling requirements, or foreign government regulations and requirements are met on international flights;
• Must be able to answer telephones, complete peripheral operations research and collect information as a member of the charter team;
• Proactively communicate expected delays or concerns;
• Act as customer service agent on client issues as applicable or directed;
• Develop working relationships with current and potential aircraft owners, corporate flight departments, air charter brokers and air charter operators;
• Protect organization's value by keeping information confidential;
• Any other activities as directed by Supervisor;
