I hope everyone is staying safe and healthy during this difficult time. As we start looking towards returning to work, many companies will require face masks to be worn at all times. This can be very difficult to enforce. We have partnered with Intuvision to help with these requirements. Intuvision is a world class leader in video analytics products. We are currently seeking a Permit Coordinator/Administrative Associate to join our team. The purpose of this position is to submit and manage all permits at the County and City level and to perform administrative duties for the company as assigned. The schedule for this position is Mondays through Fridays 8:00am to 5:00pm.
Job Duties & Responsibilities: Work closely with project teams and City/County agencies to proactively identify permit requirements and potential roadblocks along with facilitating resolutions so projects remain on schedule Manage and perform the permit process for all permitted projects – from permit preparation & application to final inspections & permit completion Keep licenses updated with permitting entities Answer incoming calls and receive guests Process all mail and correspondence Provide general administrative assistance as assigned Maintain office supplies and inventory Scan and file all documents into digital filing system Process multiple staff expenses and credit card statements Contact customers for payment of past due invoices Other duties as assigned

Qualifications:
Minimum of High School diploma required Must have a minimum of 1 year Permit Coordinator experience Office experience at a contractor company and/or within the construction management industry preferred Bilingual (English & Spanish) preferred but not required MS Word, Excel and Outlook proficiency required, Quickbooks and CRM experience a plus Proficiency with computers and software such as Microsoft Office required Experience in customer service roles Excellent written and verbal communication skills including composition, proofing and grammar Able to thrive in a fast-paced, deadline driven environment Strong critical thinking, problem solving and analytical skills Solid time management and self-motivation skills with the ability to prioritize work flow and work independently with minimal managerial supervision Strong follow up and work ethic Demonstrate openness to new challenges, opportunities and continuous learning with flexibility and easily able to adapt to changes. Must have reliable transportation Must have valid state driver’s license or ID Must be legally permitted to work in the U.S.
