"How long will it take to plan my trip?" 🤔

This is a question we address frequently with our clients.

The answer is: It depends. But...

➡️ The great news is that you can speed up the planning process for us by knowing *at least* 3 out of 4 of these factors (see second slide).

Our internal data shows that clients who come to us with those factors clearly defined are able to deposit on their trips in 2-3 weeks. Without one of those? We're either iterating a lot of potential destinations, or we're throwing metaphorical spaghetti at the wall, trying to meet a target neither of us can see.

We often have clients approach us who don't have all of those factors locked down - and that's fine! We're not willing to go out to our partners and ask them to put in the hours preparing a proposal until we have those pieces defined, but we're more than happy to start the planning process by helping you reach some clarity on where you want to go, when you want to go, and what budget will work for you.

And here's why this is important ⤵️

One of the key things we need to know when you approach us about planning a trip is how much $$$ you're hoping to invest in said trip.

However, almost every single client tells us:

"Well, I don't know how much it *should* cost." 💰

That response is completely understandable...most people don't look at the total cost of their vacations - they book flights here, then a hotel there, then maybe set up a tour. [Side note: It *should* cost whatever that experience is worth to you.]

HOWEVER. If we say to you, "Does $20,000 sound okay?" you'll have an instinctive reaction to that number - either "ugh, definitely not that much," or "that's about what we can spend," or "what do we get if we go higher?"

Any one of those reactions is fine - it gives us a direction to move in and lets us know whether your trip is a good fit for our planning style. ✨

I was on a call this week with a number of colleagues, comparing notes on how we all do our initial consultation calls with new clients…

One topic of discussion was how to address when clients want to discuss multiple destinations, or a destination you're not personally super familiar with.

👉 My take was quite distinct from everyone else's; namely: I'm on the consultation call to find out about YOU - who you are, what you like, what your past travel experiences have been like, what you loved/hated...I'm also going to explain how we work.

What I'm not necessarily going to do is talk a lot about destinations in specifics, for two reasons:

1️⃣ We can sometimes box ourselves in, if we discuss in detail how a specific itinerary could/would/should look, and then it turns out the budget doesn't work for that itinerary, or the hotels that would make that work aren't available. And...

2️⃣ I *know* I can plan an amazing trip to any destination where I have a great local partner, provided I know enough about you.

After 8 years of doing this, I’ve gotten really good at asking the right questions and finding out what we need to know in order to plan the perfect trip for you.

Dear client...

Trust us to spend your money! 💰

Hotel rates are *extremely* high right now. (Looking at you, Italy and France 👀)

We don’t want you worried about whether hotel X is “worth” $/night…that sort of valuation is subjective.

And if you’re focused on that rather than enjoying your time there, every little tiny thing that might be off to you will affect your experience.

When you book with us and provide us with a total budget number to meet up front, you may not know the individual costs of the services. We don’t often know the individual costs of the services, because they’re subject to confidentiality provisions.

That’s okay - the overall experience is definitely going to be worth the cost of your trip, because we’re VERY good at what we do. (Humble brag?)

Thankfully, we have the *best* roster of clients who trust us to spend their hard-earned $$$ to create unforgettable experiences through our expertise, connections, and experience.

A long overdue Iceland content dump 🌋🇮🇸📸

Here are some key takeaways from this trip...

🧊 With a handful of [amazing] exceptions, experience is the focus in Iceland rather than accommodation.

🐟 The food is fabulous, especially at those top-quality accommodations.

🌱 It's pricey but you're paying for expertise and flexibility - because the weather is so variable, you want to be paying a premium for a team that's both experienced and well-connected enough to pivot on a dime and reschedule activities around weather patterns.

All in all, a wonderful trip. My favorite part was definitely meeting huskies (I know, the cat *does* feel betrayed) and experiencing Iceland's justifiably great hot springs.

Did you know? ⤵️

Some countries and airlines deny entry if your passport expires in less than 6 months...

So, go dig out your passport and check the expiration!

Currently, regular processing times are approximately 6 to 8 weeks; anecdotally, expedited passports are being returned in 2-3 weeks.

Here's what happens after you jump off a discovery call with us! 🤩

1️⃣ You’ll get an invoice for our planning fee and a questionnaire for each traveler. The more details you provide, the better we can tailor your experience... honestly? The weirder/more specific, the better.

2️⃣ We collaborate with our destination partners to create your custom itinerary.

3️⃣ After we get the first draft from our partners, we closely review and iterate with them until we think it’s perfect and ready for you to see.

4️⃣ Communication is key when crafting the perfect trip for you. We're here to tweak until it's exactly what you're looking for.

5️⃣ Now that you're all set, it's time to pay the deposit and secure your trip.

6️⃣ Most of our clients prefer to book their own flights - y’all are typically expert flyers with high airline status and a bank of miles, so we prefer to get out of your way in this one regard.

7️⃣ Your personalized itinerary will be delivered straight to your phone via an app. This will have everything about your trip, broken down day-by-day, hour-by-hour.

8️⃣ Approximately 30-60 days before your trip, you’ll make the final payment for the trip.

9️⃣ Approximately 6 weeks before your trip, we’ll reach out with restaurant recommendations. Based on your choices, we’ll make reservations for you.

You can rest assured that we’re here for you up to and through your trip — whether it’s for questions, changes, emergencies, or anything else that comes up.

Here's why ⤵️

Hotels are a critical piece of any itinerary - we work hard to curate exceptional experiences for you.

But, at the end of the day, we want you coming back to a friendly face, a turned-down bed, a special treat in your room...to a place that *cares* about your experience.

Travel is complicated - all kinds of things can, and do, go wrong.

However, when you're staying at a great hotel, all a rainy day means is an excuse to curl up in the hotel bar with a hot toddy...let the hotel itself be part of your experience.

Let’s tackle this valid and frequently asked question! 🙋

The answer is... ⤵️

It depends!

As a general rule of thumb: the more time you give us to plan the trip, the better chances of getting you everything you *reaallllyyy* want.

Here’s some insight on how far in advance you should reach out based on the type of trip you are planning...

🏨 If you’re planning a TRIP and are flexible on options for hotels & experiences:
👉 Reach out at least 4-6 months in advance. We’ll do our best to accommodate your choices; however, you may face limited availability on hotels and experiences. Prices also tend to rise the closer you are to the date of travel.

🏝️ If you’re planning a TRIP and are NOT flexible on options for hotels & experiences:
👉 Reach out at least 6-8 months in advance. We’ll be more likely to have some of our favorite options available and, chances are, you’ll have your “must-have” requirements met for the trip. Standard caveat: each destination is different etc.

👥 FOR bucket-list, special occasions, and group trips:
👉 Reach out at least 9-12 months in advance. Incredible experiences (think: safari) book up quickly, so timing is critical to make sure we can get you what you want. The same goes for special occasion trips (think: Olympics) or traveling in large groups.

(Psst… We’ll never get tired of the phrase “the sooner, the better.” 👀)

Zig when everybody else is zagging. Whether that means traveling in shoulder-season, getting up early, hiring a guide to take you through the hot spots efficiently, or foregoing the hot spots altogether in favor of a lower-key experience (my personal preference): your trip is YOUR trip. Which means we plan with precision around you and your preferences, endeavoring always to give you the experience you want in the way that you need it.

A significant number of the NZ requests we get contain just one wish list item: Hobbiton, the film set from the Lord of the Rings and The Hobbit movies. The craftsmanship and level of detail is astounding; for anyone making their way by car from Auckland to points further south, it’s well worth the detour!

We saw *sixteen* hotels during our epic research trip to Ireland last month, and I’ll be breaking down the best of the best individually soon.
