Company Description
Trails for Change NGO is a trail and tourism development organization based in Yerevan, Armenia. Our expert staff, along with trained volunteers, is dedicated to developing trails throughout the country. We strive to bring social and economic change to areas in Armenia that need it most by creating a network of trails and campsites.
Role Description
This is a full-time on-site role for an Office Manager at Trails For Change NGO. The Office Manager will be responsible for day-to-day administrative tasks and providing assistance to the organization. This includes managing office equipment, communicating with stakeholders, and ensuring excellent customer service. The role is located in Yerevan, Armenia.
Objective of the Role
-Ensure peak operations for the organization and implement preventive measures for potential issues.
-Implement policies and procedures, measure outcomes against standards, and improve operational flow.
-Coordinate internal and external resources and cultivate relationships with partners.
-Respond to requests and questions about office operations.
Responsibilities
-Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
-Oversee day-to-day office activities as the main point of contact and keep management informed regularly via performance reports.
-Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists.
-Partner with HR and Accounting to update and maintain office policies and invoices as necessary.
-Provide general support to office visitors.
-Assist in the onboarding process for new hires.
-Address employee queries regarding office management issues.
-Plan in-house or off-site activities, like parties, celebrations, and conferences.
-Develop and implement new administrative systems, such as record management.
-Record office expenditure and manage the budget.
-Promote staff development and training.
Implement and promote equality and diversity policy.
-Review and update health and safety policies and ensure they are observed.
-Check that data protection laws are being adhered to in relation to the storage of data and review and update policies.
Qualifications
Two or more years of experience in office management
Excellent communication and interpersonal skills
Experience in providing administrative assistance
Knowledge of office equipment and software
Strong organizational and problem-solving abilities
Ability to work well in a team
Previous experience in the nonprofit sector is a plus
Ability to maintain confidentiality of company information.
Excellent written and verbal communication skills in Armenian and English.
A creative mind with an ability to suggest improvements.
Preferred Skills and Qualifications
Bachelor’s degree or equivalent.
Experience in developing internal systems.
Advanced computer skills and experience with online platforms.
Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other commonly used office packages.
The ability to prioritize tasks and work under pressure.
Good teamworking skills and the confidence to lead and motivate a team.
