As we prepare to expand our reach globally and add to our portfolio of luxury properties, we seek an experienced Office Manager to facilitate the smooth operation of our administrative functions and enhance our operational excellence.

Role Overview:
The Office Manager will be integral to the efficiency and sophistication of our daily operations. With a focus on high standards and exceptional service delivery, the individual will oversee administrative tasks, manage guest relations, handle bookings, and ensure the seamless functioning of our office environment.

Key Responsibilities:
Manage all incoming and outgoing correspondence with a high level of professionalism and confidentiality.
Coordinate guest inquiries, reservations, and ensure all bookings are handled with attention to detail and guest satisfaction.
Schedule property maintenance and housekeeping, ensuring properties meet our luxury standards.
Manage contract administration for new property acquisitions.
Liaise with vendors and suppliers to maintain inventory and oversee procurement processes.
Handle financial responsibilities including invoicing, payment processing, and budgeting with precision.
Develop, implement, and review operational policies and procedures.
Assist with organizing corporate meetings and maintaining executive schedules.
Oversee the administration of property insurance and licensing requirements.
Maintain orderly records and manage company archives efficiently.

Qualifications:
Professional fluency in both English and Portuguese.
Proven experience in an administrative or managerial role, preferably within the luxury sector.
Proficient in the Microsoft Office Suite and familiar with office management procedures.
Availability to work outside of standard office hours and on weekends when required.
Excellent organizational, time management, and interpersonal skills.
Ability to work autonomously, with a proactive mindset toward problem-solving.
