GATHER San Diego🌴☀️

Gather event #7 in the books! This time we headed to the West Coast and enjoyed our time at the Wyndham San Diego Bayside. The meeting space had floor to ceiling windows and our guests had the opportunity to sit outside for meals to enjoy the sunshine of Southern California. Kathy, Jordan, and Anna were onsite to greet guests at the airport and coordinating transportation to the hotel, making sure guests checked in at our registration table and had all the materials needed. They also oversaw the BEOs, making sure every need was met, including AV needs!

🌴BIFMA 360 Leadership Conference - Carlsbad, California - Park Hyatt Aviara🌴

Jackie Stone just wrapped up a seamless event for BIFMA in Carlsbad, CA, handling everything from registration management to on-site coordination and project oversight! Her expertise ensured a stress-free experience for attendees, speakers, and organizers alike.

📋 Registration Management: Designed a custom registration site matching the event’s theme and BIFMA’s brand, captured attendee details, managed multiple registration types and fee schedules, coordinated hotel reservations, processed secure payments, and provided real-time registration reports.

🎤 On-Site Event Support: Served as the venue liaison, oversaw BEOs, room setups, meals, and AV logistics, ran the registration table, managed speaker travel and tech checks, and ensured a smooth flow for all sessions which included being a consistent way finder for all attendees.

🛠 Project Management: Maintained hotel reservations and budget reports, secured restaurant reservations for attendees, coordinated board dinners and dietary needs, facilitated communication between BIFMA and the hotel, and ensured all event details were flawlessly executed.

From the first registration click to the final farewell, Jackie handled every detail with precision and care providing excellence from start to finish at this 5 diamond and 5-star property!

Another Gather event in the books! With new locations comes new logistics but our team handled it flawlessly! From greeting guests at the airport and coordinating transportation to the hotel to overseeing meals and AV needs, Kathy, Jordan, and Bridget truly shined! We love being onsite with our clients to ensure a seamless event and exceed their expectations. Any guesses where we’re headed next?

GATHER Niagara!

Kathy, Jordan, and Anna successfully planned the fifth GATHER event in Niagara Falls. Roughly 23 guests flew into Buffalo, NY, and our team was able to handle the logistics of getting them to the Canadian side of Niagara Falls and across the border. We were onsite all week to assist guests with arrival and departure transportation, registration, check-in, meeting material logistics, all food and beverage needs, and anything else the group needed throughout the week. It was also a perk for the guests and our team to see the falls during our meeting breaks!

Amway Growth Camp 2024 completed! Our team organized flight arrivals, private vehicle transfers, VIP needs, staffing, all food and beverage needs, a welcome dinner at the Amway Grand Plaza Hotel, and all departures!

We loved working with the Amway team and look forward to collaborating more in the future!

GATHER Boston!!
Kathy, Jordan, and Jessica rocked it in Boston for the fourth Gather event! Kathy welcomed guests at the Royal Sonesta while Jordan and Jessica handled arrivals at the airport. Throughout the program, guests enjoyed seamless meetings, good food, and even better weather! With this being our team's second time doing a meeting in Boston, we now have a great understanding of the logistics of arrivals and departures, especially at the airport!

And, of course with being in Boston, we had to make a Cannoli run for our clients!

Just wrapped an incredible event filled with so many moving parts! From Cvent registration and managing room blocks with Passkey to coordinating F&B and BEOs with Amway and layouts with DeVos, it was a blast! AV came together with the help of Aria Show & KBO, and it was an honor to coordinate the keynote with David Pogue from CBS Sunday Morning. Conference bags from Green Giftz, a welcome reception with guitarist Colin Tobin, and an interactive graffiti wall by IceGuru were just a few highlights. We even hosted a sponsor reception at Woodrow’s Duckpin with catering by Amway. Huge thanks to everyone who made it happen! AvaSure was a success and a huge shoutout to Jackie for being the lead on this!

GATHER Calgary 🍁! Kathy, Bridget, and Jordan were with the Gather team in Calgary, Alberta, Canada!

Bridget and Jordan started the week at the airport welcoming domestic and international flights while Kathy was at the Carriage House Hotel and Conference Center welcoming the guests and assisting them with the check-in process. For the rest of the meeting, the team supported the guests and made sure everyone had all the materials needed. On the final day after all meetings concluded, we organized river rafting for staff followed by a BBQ dinner!

We always enjoy working with the Gather team - the next stop is Boston, MA!

Jackie and Kayleen were in Albuquerque, New Mexico last week onsite with the NAPSA Conference!

Jackie managed session proposals, working with a team to score and select sessions. She assigned time slots, coordinated speaker availability, and allocated rooms based on popularity, ensuring a balanced distribution of session tracks. She also oversaw the speaker portal, ensuring profiles and session materials were updated, and worked with the client and convention center on AV, layouts, and on-site needs.

Kayleen coordinated registration by setting up three large Cvent OnArrival stations, each equipped with 12 iPads and 6 printers, facilitating the check-in of over 1,200 attendees. Additionally, she developed and managed the event app, which was downloaded by over 1,000 users, and achieved over 80% utilization throughout the event.

Gather Vancouver 🇨🇦

Kathy, Bridget, and Anna were onsite with the Christian Reformed Church for the 2nd of 10 Gather events! Our team assisted with all pre-event registration, Bridget and Anna were at the airport welcoming guests off their flights, and directing them to the hotel shuttle. We also assisted with onsite logistics, all food and beverage needs, and ensuring all guests were taken care of!

Huge shoutout to the Westin Wall Centre for all of their assistance and great staff!!

Tech Week Grand Rapids 2024 was a success. Working alongside The Right Place, Jessica and Bridget were onsite assisting with load-in, they managed all exhibitors and communications with schools within the greater Grand Rapids area, all food catering for lunch, tear down, and load out! We always enjoy working with The Right Place and look forward to further collaboration!

Our team successfully assisted with the Life Learn Animal Health event on Mackinac Island. Upon arrival, we greeted guests at Shepler's Ferry and assisted them with navigating to The Grand Hotel or arranging carriage rides. For those riding carriages, we provided tickets to eliminate out-of-pocket costs. On the second day, we offered a variety of off-site activities, including a Sip 'n Sail, fudge-making, and a bike tour around the island. For the evening, we hosted an equestrian-themed dinner at the Grand Hotel Stables, featuring delicious food and the opportunity to interact with horses. On the final day, our staff ensured a smooth departure for all guests, including assistance with luggage. We accomplished our goal to provide a seamless experience for everyone!
