GradCity is committed to providing the greatest value and experience in student group travel. This has been our mission as the leader for high school senior spring and summer travel for 30 years. We take pride in customizing packages for students and families that are memorable, fun-filled, worry-free, and high-quality.

As our Customer Service Coordinator, you will…
Report directly to the Customer Service and Marketing Manager. You will be responsible for providing and ensuring
exceptional customer service daily through phone, email, text, and social media messaging platforms before, during and after booking/travel. You will interact with potential and existing clients regarding trip details including questions pertaining to group meetings, the trip/destination, activities/events, invoices, and payments. You must be thorough and have timely communication.

Customer Service
• Work as independent liaison/communications hub between customers and team
• Respond and resolve customer questions, concerns or issues over the telephone, email, text, and/or social media
messaging platforms in a timely manner
• Create, proof and coordinate email communication for customer deadlines and/or team projects
• Promote sales by explaining and highlighting GradCity services
• Assist with solutions for pre-travel, onsite, and post travel customer concerns
• Continually seeks to increase customer satisfaction and help deepen customer and vendor relationships
• Proactively seeks to understand customers’ needs and propose new/alternative customer and business solutions

Data Entry/Reporting
• Receive, log, build, and process reservation set-up and maintenance for Sales Rep(s)
• Process payments and invoice customers
• Accurately and thoroughly take/enter notes of all customer communication
• Collect and update rooming lists
• Apply all Group Organizer credits and incentives
• Provide insight on process improvements or resources/tools opportunities

Communication/Administration
• Serve as in-office point person for outside Sales Rep(s)
• Ability to collaborate and build teamwork
• Confronts issues openly and quickly
• Effectively communicates relevant project/customer issues and/or information to superiors and peers
• Helps to determine new, creative ways to improve team, programs, and customer experience
• Works seamlessly across departments
• Assist with preparation and follow-through of surveys and travel documents
• Maintain consistent and positive communication with team, Sales Rep(s), Group Organizers, and customers
• Participate in Sales and Operations meetings as well as Product trainings

These are the qualifications we’re looking for...
• College or university degree
• 1-3 years in Customer Service or related experience
• Self-motivated, quick, and assertive
• Extremely detailed oriented and organized
• Exceptional time management skills
• Excellent writing and communication skills
• Cool, calm, collected and collaborative
• Proficient in MS Office applications
• Passion for and willingness to travel
