The MTBO Toolkit

The MTBO Toolkit The MTBO Toolkit provides music therapy business owners with support and guidance as they build their practices as leaders in healthcare. Okay, so what if?

I was laughed at when I said I wanted to own my company. I was in the fourth grade, so I get it. That passion never went away but the fear of failure kept me from owning my business for so long! What if no one will sign a contract? What if don't pay my taxes right? What if no one will give me a chance. What if.....What if...What if...?? What if I build something sustainable for my family? What if

I am able to reach countless people and make an impact on them forever? What if because of my leap of faith that I am able to change the community through music? What if I am able to make a living, doing what I love, building jobs for other people....What if....

In 2010 I started to laugh at myself when I started picking up a couple of part time clients. Music therapy was a hobby. I mean, really, you can't make a living doing what you love everyday, right? I was miserable at my full time job. But it paid the bills. I had health insurance. I had a roof over my head. But watching a little girl kick her legs for the first time to hit a drum was amazing!! And hearing a man speak after a stroke was just.......I don't even have words!! I felt pure joy doing music therapy. Its where I was happiest. The thought of doing that everyday seemed so impossible. In 2012 I quit my full time job. I wanted that joy everyday. I wanted to help people grow. I wanted to make a positive impact. So......I jumped. No safety net. No nothing. My husband was unemployed. I had no savings. I had an almost 1 year old at home with special needs. I was petrified!!!!!! How was I going to make rent? How was I going to keep the lights on? How was I going to feed my son? The what ifs came flooding back in. What was I thinking!! That was August of 2012....
In January 2013 I hired an employee...
In February 2013 I was featured on NBC...
In August 2013 I hired AGAIN...
In October 2013 I opened my clinic....
The clients just kept coming and coming. Word got out that we worked hard. That we were dedicated. That we were determined to tailor services. That we were determined to help. Here I am......... 2017. I have 7 board certified music therapists, an intern, and 2 administrative assistants. I run a summer job shadow internship for three students every year. We're opening a second clinic space and I just posted another job opening. This week alone we have already received ten referrals. I am passionate about helping other MTs achieve their dreams. I want to help you experience the growth you are looking for whether that be one new client a month or a full clinical team. Together we will assess your practices, design obtainable goals, and set concrete action steps to put you in the direction of the practice of your dreams. I want to help you grow, the speed you want, in the direction you want to grow in. No dream is ever too big and no dream is ever too small. I named my practice Infinity Music Therapy Services for a reason. I truly believe that the possibilities are endless. When there is a will, there is a way. The journey may be hard but the end product is so worth it. I want to be at the finish line celebrating with you! I provide resources for therapists to strengthen their contract negotiation skills, hire and manage a growing clinical team, and design a financial plan that not only keeps the lights on but lets us truly engage in self-care by taking the days we need off and the time we need to rest and rejuvenate. Point blank, fear is usually what keeps us from going after what our hearts are being called to do. Let's eliminate that fear by giving you the support and the resources you need to take active steps toward your dream practice. You are enough-I'm just hear to remind you of that.

Tip #4-Communicate clearly and openly with your clients regarding the transition that will be occurring. Be available to answer questions and have a solid process of how a new therapist will be introduced. You may lose clients in the process-don't beat yourself up. Change is difficult for many. Check in throughout the transition process to see if they have questions and show that you are invested in their case.

09/20/2018

Tip #3: Do you provide your employee with an email or phone? Doing so will ensure that you can continue to receive any work related communications in their absence. You can also program both to have an away message so calls/ emails get redirected to you. This has helped ensure that I didn’t miss out on clients returning to the practice and new referrals. Upon the employee’s exit, collect their phone and change any pertinent passwords immediately.

09/20/2018

Tip #2 (a little late but the world of private practice is full of schedule surprises): Set up a transition report policy to capture data, preferred interventions, any special information, etc. This document will help during transitions within your company but will also set you up for success if you are unable to do co-txs with an exiting employee.

09/18/2018

Tip #1 for exiting employees: Be proactive and have your exit policies outlined in an employee handbook that they sign acknowledgement of upon hire. State how much notice you require, whether or not benefits can be cashed out, and what happens if they have previously scheduled time off (does that count as part of their notice?) Have your handbook reviewed by an attorney, there are laws regarding when you must pay an employee their final paycheck. For example, in CT, an employee is paid on the next schedule payday if they resign but if they are terminated, it is due to them within one business day.

09/18/2018

You just had someone resign-now what? Do you have a plan up to exit them properly? How are you getting back confidential information? Supplies? Notifying your clients? We’ll be sharing tips and tricks this week to make the process as smooth as possible so stay tuned!

After a recent experience buying a car, I was struck by how many people don't realize that anyone, and I mean anyone is a referral source. The employee at this particular dealership stood us up during the car delivery time. No email, no text, no call, no nothing. When I started voicing my frustration, he hung up on me. When he did talk to me I asked for a manager to call. I received no call. I found out later that he worked on commission, received updates from his manager stating the car wouldn't be ready (for a legitimate reason) and was told to contact us. He then chose not to tell his manager that I asked for call.

So here is the kicker---in his eyes we were buying a used car and his commission was going to be low. We were a "small customer" to keep happy. We weren't worth his time.

What he didn't realize that I ran a practice with employees who commuted as 85% of their job. He didn't realize I buy a car every 3-4 years. He didn't realize I have a team of employees that do as well. He didn't realize that I have future goals of owning a fleet for my team. He didn't realize that because we all commute so much, cleaning cars and oil changes was a common thing for us.

He flushed the potential of HUGE sales down the drain because in that moment we were SMALL.

Some of my biggest clients have come from small contracts. I ran a one time session for $75 and they received the same level of service we provide to our larger contracts. That $75 contract now is about a $25k contract each year.

ANYONE is a referral source.

(Want to learn how to nurture those referral sources? Send us a PM or give Jona a call at (860) 518-5557)

Three tips and tricks to NOT confused for a volunteer when trying to set up contracts:

1. Don’t use words like “show you what I do” or “meet to discuss opportunities” during those initial calls or emails. Instead, ask about “opportunities to collaborate on client care” or “time to discuss options for client treatment plans”.

2. Be consistent with your branding. Have a polo with your logo, a name tag (I made mine with a laminator!), and a consult folder ready to go. Volunteers don’t typically spend the time (or money) to do that. You’ll set up expectations early on.

3. Be ready to talk about numbers, scheduling, and contract terms. This means having a planner (electric or paper) ready to go and sample contracts/Policies. If you’re afraid to discuss costs, you may walk into a situation where you may be “free”.

And as a bonus-never do a free “demo” session. Offer paid demo sessions without a full contract. Your liability insurance may not cover free, you align yourself more with healthcare instead of volunteers when you bill, and YOU ARE WORTH EVERY DIME!

Now go land some contracts! :)

Transparency-it’s often what our clients want. Does your intake paperwork contain releases for pictures, audio recordings, video recordings? It is one thing to use these within the context of therapy. It’s a totally different thing to use it as part of a professional presentation. It’s an entirely different thing to use them for marketing purposes. Obtain written permission. Communicate with your clients about their rights to rescind their authorization. When you share materials with the public, communicate that you have permission to share. We want to advocate for people to access high quality services but we don’t want to exploit our clients in the process.

Need help creating these consents? Send us a PM.
